The Conference Centre Coordinator is responsible for the seamless coordination and execution of events in Centennial Place and Eau Claire Tower conference centres. This role ensures exceptional customer service, efficient logistics, and operational excellence across all bookings and activations. The Coordinator will work closely with internal teams, external vendors, and clients to deliver memorable and professional experiences.

What does a Conference Centre Coordinator in Calgary do?

  • Serve as the primary point of contact for conference centre inquiries and bookings.
  • Understand client needs and proactively offer solutions to enhance their experience.
  • Confirm event details including catering, A/V, room setup, and special requests.
  • Oversee room setups and takedowns in collaboration with cleaning and maintenance teams.
  • Be present during client arrivals and departures to ensure satisfaction.
  • Troubleshoot and resolve any issues that arise during events.
  • Maintain cleanliness, safety, and readiness of conference centre spaces.
  • Coordinate with vendors (e.g., Janitorial, Security, AV contractor, catering) for service delivery.
  • Conduct site visits and planning meetings with prospective clients.
  • Maintain booking systems and attendee databases.
  • Collect feedback and prepare post-event reports for continuous improvement.
  • Track amenity usage and ensure accurate monthly billing.
  • Other duties as required.

Qualifications to become a Conference Centre Coordinator in Calgary

  • High school diploma or equivalent; a degree in Hospitality, Event Management, Business Administration, or related field preferred
  • 2–3 years of experience in event coordination, hospitality, or property management.
  • Strong organizational and multitasking skills.
  • Must be able to work 8 hour day shifts and extend when required 
  • Excellent communication and customer service abilities.
  • Proficiency in Microsoft Office and experience with email management.
  • Ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
  • A proactive and resourceful attitude towards problem-solving.
