Place of work/Travel:

London, UK with limited travel throughout the Middle East where the company has operations. GardaWorld also has office locations in Washington DC, Belgium and Dubai that may need occasional visits.

Contact and Cooperation:

Internally: a focus on Human Resources and Operations Support, namely but not limited to  Senior Manager Operations Support, Operations Support HR Team, Director Operations Support, RMTs (including Regional Directors) and the Commercial Support Team (CST)

Externally: with new applicants, existing employees and contractors.

Job Outline:

The Recruitment Coordinator is a fixed term full-time London based position responsible to the Senior Manager Operations Support. The Recruitment Coordinator will be heavily involved in providing efficient and effective coordination support to the GardaWorld Recruitment function responsible for the resourcing and recruitment of high calibre candidates. The Recruitment Coordinator will provide all coordination and administration support required from start to finish of the GardaWorld Recruitment process.

 

Main duties and responsibilities are as follows:

 

•             Posting and monitoring of active job requisitions using GardaWorld Application Tracking System (ATS) and other recruitment/social media platforms.

•             Designing and placing of all recruitment adverts posted on third party recruitment agencies, training establishments and social media sites used in support of the GardaWorld Recruitment function. 

•             Conducting initial CV screen & shortlisting of potential candidates prior to detailed secondary CV screen.

•             Detailed checking of candidate credentials prior to offer of interview, to include military history and other professional security documentation requirements.

•             Candidate communication to include but not limited to managing all recruitment calls, invites to interview, confirmation of appointments, preparation of recruitment days, reference requests, and post interview communication.

•             Assisting the Senior Manager Operations Support with conducting face-to-face interviews in London or at other suitable locations if necessity dictates.

•             Conduct skype/ telephone where face-to-face interviews are not possible.

•             Assisting in the accurate record keeping & recruitment tracking requirements.

•             Oversee the application process for Security Clearances and / or visas in support of the mobilisation process.

•             Oversee the Letter of Invitations (LOI) application process and where necessary the complete the activation of issued LOIs at relevant Embassies as required.

Secondary duties and responsibilities:

 

•             Interaction with the CST for the provision of sample and/or proposed CVs in support of the bids process.

•             Perform additional administrative duties applicable to your level of experience as directed by the Senior Manager Operations Support and or Director Operations Support.

•             Excellent administrative and record tracking skills ensuring excellent attention to detail and a high level of accuracy.

•             Ability to work in a systematic and thorough manner on routine tasks.

•             Excellent communication skills both written and verbal.

•             Makes presentations and undertakes public speaking with skill and confidence

•             Excellent interpersonal skills, capable of building strong relationships with both internal and external stakeholders.

•             Possess a diligent, responsible and professional manner, able to work with the minimum of supervision and as part of a wider team.

•             Ability to prioritise tasks to meet the operational need.

•             Ability to work under pressure to tight deadlines while maintaining the integrity and quality of the product.

Accountability:

The Recruitment Coordinator is accountable to the Senior Manager Operations Support for their responsibilities stated in this job description. These responsibilities will be monitored and managed through the mid-year and annual performance review and supported through the monitoring of their KPIs.

 

Authority:

As detailed and delegated by Senior Manager Operations Support and Director of Operations Support

Experience & Qualifications

•             Minimum of 2 years working in a coordination/administrative function.

•             Advanced MS Office skills (Word, Excel, Access, Outlook).

•             Experience with administering an Applicant Tracking System (SAP, PageUp, Taleo).

•             Experience with bulk recruitment and selection processes.

•             CIPD recruitment and selection certified desirable.
