Administration Manager

We are looking for an energetic, detail orientated candidate for our Administration Manager role. The successful candidate will be responsible for all administrative, scheduling and human resources responsibilities for the Regina Branch. Working closely with the Operations Coordinator and reporting to the Operations Manager, the successful candidate will be adaptable and a self starter. Responsibilities: 

  • Ensure customers are expediently billed and employees and suppliers are paid accurately and on time to meet established standards or schedules.
  • Respond to customers’ billing inquiries and complaints, ensuring issues are resolved quickly and the customer is provided with a reasonable explanation.
  • Maintain processes to record and control expenditures and maintain a constant monitoring of accounts receivable
  • Ensure that all work is charged to clients, and ensure procedures are in place to accurately record inventory of all assets, including personnel, equipment and uniforms.
  • Maintain client files to identify agreements with respect to service commitments.
  • Ensure the contract commitments with respect to billing for services are fulfilled and that invoices provide the information and breakdown agreed to.
  • Process payroll in accordance to the union CBA agreement, answering employee payroll questions promptly. 
  • Maintain employee records in HR data base (Vision)
  • Complete other HR tasks as appropriate
  • Support branch scheduling needs in partnership with the Operations Coordinator. 

 

Qualifications: 

  • 3 - 5 years experience with accounts receivable/ accounts payable
  • 1 - 3 years experience with payroll processing
  • Detail oriented, computer savvy and able to work independently and as part of a team. 
  • Experience working with an HRIS system an asset
  • Experience with union relations an asset
  • Experience scheduling employees an asset
