Front Desk Administrator – Health & Safety (First Aid)

We’re looking for a Front Desk Administrator–Health & Safety (First Aid) to be the first point of contact for a high-profile downtown client in the technology sector. In this role, you will welcome visitors, manage access control, respond to incidents, and ensure the highest standards of professionalism, safety, and discretion. You’ll also play a critical role in workplace health and safety initiatives, supporting inspections, emergency drills, and compliance documentation.

Key Responsibilities

Welcome and verify visitors, provide wayfinding, and set a positive tone for the workplace

Manage access control using Feenics (Access Control) and Avigilon (VMS) systems
-
Work seamlessly across multiple platforms, including G Suite, Excel, Slack, Outlook, and CCTV monitoring software

Maintain a 10-minute email SLA and 3-minute instant message SLA for all communications

Perform regular walkthroughs to identify safety risks and inspect equipment, reporting maintenance needs

Respond to incidents, provide First-Aid, and coordinate with emergency response teams

Write reports using the client’s ServiceNow platform and communicate concerns promptly

Conduct quarterly workplace health & safety inspections, tracking corrective actions through completion

Act as the on-site EH&S representative during emergencies, drills, and evacuations, ensuring compliance with procedures

Maintain safety-related documentation to support regulatory requirements

Participate as an active member of the site’s Joint Health and Safety Committee (JHSC)

Complete company-provided environmental health & safety (EHS) training and apply principles in daily operations
Qualifications

Willingness to obtain a valid Ontario Security Licence (training provided if not already held)

Minimum 2 years’ experience as a receptionist, executive assistant, or front-of-house administrator

Must be 21+ years of age

Exceptional customer service skills with a professional, positive demeanor

Strong multitasking abilities — able to move between high-priority meetings, visitor management, and incident response without losing focus

Experience working with G Suite, Excel, Outlook, Slack, Avigilon (VMS), and Feenics (Access Control)

Ability to write clear, detailed reports using ServiceNow or similar case management systems

High school diploma or GED (required)

Ability to pass an extensive screening process

Strong personal qualities including initiative, attention to detail, resilience, and ownership of work

Background in security, military, or law enforcement is an asset (but not required)
